TechCXO Fractional Executives

Fractional & interim executive firm

Shared CRM and BD engine for four executives

Four executives went from scattered, untracked contacts to a working shared CRM with segmented lists, outreach campaigns, and accountability dashboards, at a quarter of the individual cost.

The Problem

Four TechCXO fractional executives each needed a business development engine but had no shared infrastructure. Barry Pincus (fractional CFO, formerly CFO of the New York Yankees and Martha Stewart Living) had no system for prospect lists or outreach. Frank Connolly had contacts scattered across systems. Claus Kinder needed visibility and podcast placements. Jim Gallagher was working 60 to 80 hour weeks with no bandwidth for business development.

What We Did

Set up a shared HighLevel CRM with the subscription cost split four ways. Built out each executive's stack: email and calendar integration, contact imports and tagging (700+ tagged contacts for Frank, 175 to 200 cold lists for Jim), industry-segmented email sequences, LinkedIn campaigns, Apollo-based lead lists, Sales Navigator training, activity dashboards, and weekly check-ins.

What Changed

All four executives moved from scattered contacts to a working shared CRM with segmented lists, outreach campaigns, and accountability dashboards. The engagement ran from June 2025 through 2026, including a documented mid-course correction that strengthened the relationship.

Shaun Tomson

Keynote speaker & author, former World Surfing Champion

Speaker outreach and lead generation

Speaking-business development went from ad hoc to systematic: a CRM-backed outreach pipeline, recurring newsletters, and a repeatable application process.

The Problem

Shaun wanted more paid speaking engagements but had no outreach engine. A digital-presence audit found 0% accurate business listings (55 of 57 listing sites missing), only one review source, and no systematic pipeline for bookings.

What We Did

Delivered a 32-hour per month retainer: curated LinkedIn lead lists uploaded to CRM for automated follow-up, two newsletters per month, targeted research on surf-affiliated companies, speaker-application submissions, podcast outreach with tailored pitches, and a 3-email drip sequence for conference organizers.

What Changed

A CRM-backed outreach pipeline, recurring newsletters, and a repeatable application process replaced ad hoc outreach, with weekly check-ins keeping momentum.

Cold outreach: 90 calls in week one

Documented outbound activity from a standing start: 90 calls and 7 emails in week one, 58 calls and 6 emails in week two, with a submissions pipeline tracked.

The Problem

Kumesh Pillay needed sales leads and appointments. His compliance consultancy had no outbound process for reaching companies due for BEE certificate renewals.

What We Did

Built B2B lead lists from Google Maps and Apollo exports with verified emails, titles, and LinkedIn URLs. Ran cold-calling campaigns with per-call notes capturing decision-makers and follow-up windows. Created a BBBEE Client Profile marketing PDF.

What Changed

The consultancy gained lead lists, a call process, and marketing collateral it did not previously have. 90 calls and 7 emails in week one, 58 calls and 6 emails in week two.

SR Generators

Generator sales & servicing (Pretoria, SA)

Outbound lead program with HubSpot CRM

The company gained a working CRM, branded email sending, and an active call program where none existed, with call notes capturing valuable market intelligence.

The Problem

During South Africa's load-shedding era, the company needed a lead outreach program to win appointments and service-level agreements, but had no CRM and no outbound process.

What We Did

Built lead lists of roughly 200 targets (casinos, malls, petrol stations, industrial prospects), loaded them into free HubSpot CRM, linked company email for branded sending, and ran 1 to 2 hours per week of logged calls using a local phone line.

What Changed

A working CRM, branded email sending, and an active call program where none existed. Call notes captured market intelligence on existing suppliers and callback windows.

The Problem

What We Did

Built and worked large call lists across car dealerships, schools, call centres, casinos, and fuel stations, using a color-coded disposition system. Sent follow-up info emails and produced a full company profile booklet and product promo graphics.

The Fence Co

Fencing installation (Tampa, FL)

Missed-call recovery

On day one, 7 call attempts reached 5 people and booked 2 appointments. Missed calls became a worked pipeline instead of lost revenue.

The Problem

The company was missing inbound calls, including a post-hurricane demand surge, and losing quote and booking opportunities because nobody was systematically calling back.

What We Did

Called back every missed number, sent follow-up texts when unreachable, logged every attempt with status and notes, escalated hot leads to the internal team, and reported daily totals.

What Changed

Day one: 7 calls, 5 reached, 2 appointments booked. Subsequent days logged 6 attempts with 3 reached and 5 attempts with 2 reached. Several customers confirmed as assisted or signed quotes.

Hoege Consulting

Executive & leadership coaching (WI)

Marketing engine and website migration

December 2025 newsletters achieved 100% open rates on delivered sends with click rates between 60.9% and 71.4%.

The Problem

Jennifer Hoege needed a marketing engine and consolidated operations. Her aging Wix site carried SEO equity she feared losing, her CRM contacts lacked emails and tags, she had no newsletter list-building, and content needs across blogs, LinkedIn, and Instagram were going unmet.

What We Did

Built a documented Voice Guide, then a marketing strategy: two blogs per month repurposed to LinkedIn, a monthly newsletter, signup forms in HighLevel, a full website rebuild migrating from Wix to GHL, social posts, and a holiday "gift of coaching" campaign with Stripe payment links.

What Changed

December 2025 newsletters: 100% open rates on delivered sends, click rates of 60.9% to 71.4%. Example: "From Pause to Purpose" hit 28 opens and 71.43% clicks.

Audit-to-engine program

Went from no defined ICP, no funnels, and an unaudited site (1,678 SEO issues) to a documented messaging framework, content operating system, and prioritized SEO fix list.

The Problem

The pipeline was too small: the goal was to triple it. The website had 1,678 SEO issues (87 pages missing meta descriptions), inconsistent content cadence, no lead capture funnels, and undefined ideal client profiles.

What We Did

Ran a four-phase program: full audit of website, socials, newsletter, and CRM with competitive analysis. Marketing engine with 3-4x/week LinkedIn and 3x/week Instagram content plan, biweekly newsletter, an evergreen funnel, cold outreach scripts and SOPs, speaker one-sheet, podcast pitching, and webinars.

What Changed

Demand generation (R94,787 engagement)

The offer went from pitch-only to a complete, launchable acquisition system: landing page, qualification flow, ads strategy, and an always-on social presence.

The Problem

What We Did

Built the landing page, Facebook ad creative with Meta Business Suite management, a 5-touch email and WhatsApp nurture workflow over five months, and a custom HighLevel CRM pipeline (New Lead through Closed/Won) with tagging and segmentation.

What Changed

A two-sided acquisition model: an info product funnel feeding a nurture pipeline. Tracking metrics were defined (landing page conversions, ad CTR, email engagement) and the system was ready to launch.
